Cafeyn is seeking an experienced and dynamic Executive & Personal Assistant to support our CEO. The profile we are looking for is first and foremost organized and nimble, as our fast-paced environment involves work that will require this role to have initiative and exercise independent judgment.
The challenge of this role is to ally personal and professional assistance.
You will engage with parties and associated contacts of a sensitive, complex, and highly confidential nature. In order to be successful and meet both the CEO and business demands, you will need to work under minimal supervision, have flexibility about the time of day and hours to be worked and capable of responding within short time frames.
Both on personal and professional topics you shall support the CEO and occasionally his family with :
Calendar complex organization, coordination and support : numerous travels to prepare, book and anticipate, meetings both personal and professional with executives and key stakeholders to schedule
Admin tasks : support on personal cash-flow, expenses reports and various personal tasks (health and care insurance, doctors, bank…)
Strategic and executive committees event coordination and support with reporting and presentations
In a fast paced and ever changing environment, you will make sure that our CEO has all he needs for his meetings, is capable of making the best out of the time he has in each location he is traveling into and follows up with his professional meetings as well as his personal and familial engagements.
Who are we looking for?
You are at the right place is you have/are :
A solution oriented and proactive approach with high organizational skills
A high sense of confidentiality and loyalty
Work experience as an Executive Assistant, Personal Assistant or similar role
Expert level ability to interact and communicate effectively, tactfully and respectfully with others in all possible situations in both written and oral communication.
Strong communication skills.
Expert level skills in Microsoft Office Suite, Google Office Suite & digital collaborative tools
English spoken to a native level and fluent level of French
